Google Business Profile Strategy and Optimisation Plan
Plans how a local business claims, completes and runs its Google Business Profile, with photo, post, Q&A and review routines and local footfall tactics, for the owner and the team that manages the listing.
Use When
- The business does not appear in Google Maps or 'near me' searches and the listing needs setting up, verifying or completing.
- The client wants a routine for photos, Google posts, Q&A and replying to reviews on the listing.
- Several branches need their own listings, consistent details and per-branch reporting on calls, directions and visits.
- The client wants more walk-in customers near its premises through geo-targeted ads, location tags and check-ins, and neighbourhood WhatsApp groups.

Required Inputs
| Artefact | Source/provider | Required? | If absent |
|---|---|---|---|
| Exact business name, physical address or service-area districts, phone (WhatsApp Business number preferred for EA) and website URL | Owner, signage and receipts | Yes | Stop the set-up; a wrong name or address cannot be corrected cheaply after verification. |
| Primary category and up to 9 secondary categories | Owner, from the services actually offered | Yes | Propose the most specific primary category from the category table and mark it for owner confirmation. |
| Weekly hours and the Uganda public holidays the business closes or reduces hours on | Owner | Yes | Enter standard hours only and list the holiday dates for the owner to confirm; never leave hours blank. |
| The 10 most common customer questions and 5 best product/service photos | Owner and front-line staff | Yes | Use the 10 universal Q&A starters and brief the owner on photo quality (sharp, well-lit, representative). |
| Owner access to the listing and current GBP Insights | Listing owner | Conditional | Stop before claiming, editing or verifying; mark the baseline not assessed and deliver the plan for the owner to execute. |
| Branch list and footfall objective | Owner | If there is more than one site or a footfall goal | Plan a single listing; add the location reference only when the objective is confirmed. |
Workflow
- Confirm the owner, objective, access and permission boundary; stop if the owner cannot authorise the listing or if the job is page-level search work (
seo-geo-optimisation). - Collect the intake and run the set-up and verification checklist in order (claim or create, primary and secondary categories, address or service area, verification) from the set-up, optimisation and review method §1.
- Score the profile on the 10-point completeness score (§2); require 10/10 before any content or promotion activity.
- Plan photos (§3), posts with the 3-step formula (§4) and Q&A pre-population and monitoring (§5).
- Set the review generation and response routine with the ready-to-use templates (§6); never offer incentives for reviews.
- Set monthly metrics and the management checklist (§7), and audit NAP consistency, cross-linking, map embedding and citations (§8).
- Where footfall or several branches are in scope, add the location asset checklist, geo-targeted paid, location-tagged content, WhatsApp hyperlocal and multi-branch steps from location-based and proximity marketing.
- Run the quality and anti-slop gates; correct any failed check and rerun it before handing the plan to the owner.
Outputs
| Artefact | Consumer | Acceptance condition |
|---|---|---|
| Set-up and verification checklist | Listing owner | Complete enough to create a profile from scratch without consulting any other resource. |
| 10-point completeness score with fixes | Listing owner | Every element scored; each gap has an action and owner. |
| Photo, post, Q&A and review routine with templates | Staff managing the listing | Templates ready to use with minimal editing; pixel dimensions and minimum quantities stated per photo type. |
| Monthly metrics and management checklist | Owner; meta-reporting |
A numerical target for each metric. |
| Local footfall and multi-branch plan | Owner and branch managers | Produced only when footfall or branches are in scope; one listing per branch. |
Evidence Produced
| Evidence | Format | Acceptance condition |
|---|---|---|
| Verification and access record | Table: method, date requested, status, owner | No edit is made to name, address or category while a postcard is pending. |
| NAP consistency audit | Table: platform, name, address, phone, match status | Every listing matches character for character or has a correction action. |
| Monthly GBP Insights snapshot | Table per listing | Search and Maps impressions, direction requests, calls, website clicks, photo views, review count and rating recorded. |
Capability and Permission Boundaries
Read and search only; analysis is read-only. Publishing, spend, live account changes, outreach and personal-data processing need explicit, action-specific client authority. Claiming, editing or verifying a listing needs the owner's access and consent; fake or incentivised reviews are never acceptable.
Degraded Mode
Without owner access to the listing, return the narrowest qualified result and mark the affected checks not assessed. The set-up checklist, completeness score from public view, templates and NAP audit can still be delivered for the owner to execute.
Decision Rules
| Condition | Action | Failure or risk avoided |
|---|---|---|
| The business has no customer-facing premises | Configure a service area and hide the address | Misrepresentation or unwanted visits |
| No listing exists or the owner cannot give access | Produce a set-up plan with assumptions labelled | False optimisation against invented history |
| Insights show an established listing | Prioritise measured gaps and keep what already works | Destructive reset of working assets |
| The goal is footfall around physical premises or branches, beyond the listing itself | Add the location asset checklist, geo-targeted paid, location-tagged content, WhatsApp hyperlocal and multi-branch steps from location-based-and-proximity-marketing. The location checklist's Essential floor of 10 photos sits above the listing minimum of 8 (the setup method's minimum viable set is 9); use 10 for footfall goals. | A complete listing with no local demand plan, or branches that stay invisible |
| A verification method, post type, Q&A feature or Insights metric is time-sensitive | Verify it against official Google Business Profile help before stating it | Stale platform advice |
| A listing already exists for the business | Select "Claim this business" rather than creating a duplicate | Duplicate listings splitting reviews and ranking |
| The verification postcard is delayed beyond 3 weeks | Request video verification through GBP support chat; make no name, address or category edits meanwhile | Restarting verification and losing weeks |
| The average rating falls below 4.2 | Prioritise the review generation strategy (§6) | A rating that suppresses clicks and ranking |
Quality Standards
- The set-up checklist lets a client create a profile from scratch without consulting any other resource.
- All response templates (review request WhatsApp message, positive review response, negative review response) are ready to use with minimal editing, and the review generation section includes the full WhatsApp message template, not a description of what it should say.
- Photo guidance states specific pixel dimensions and minimum quantities for each photo type.
- The post section gives the 3-step formula (hook, key information, CTA) usable without further guidance.
- EA context runs throughout: UGX pricing in post examples, WhatsApp as the primary review request channel, Uganda public holidays in the hours guidance, Kampala/EA location references in examples.
- The metrics section gives a numerical target for each metric, not just what to measure.
- NAP is identical on every platform and listing named in the plan.
- British English throughout with no American spelling variants.
Anti-Patterns
- Keyword-stuffing the business name (for example "Kampala Best Pizza Restaurant Delivery Fast"). Fix: use the exact trading name on signage and receipts.
- Offering discounts, gifts or any incentive for a review. Fix: ask directly after a good experience; the request is legitimate, the incentive is not.
- Showing a home address for a service-area business. Fix: select "Service area business" and list the districts served.
- Entering a Facebook page URL when there is no website. Fix: leave the website field blank.
- Arguing with, deflecting or copy-pasting replies to negative reviews, or asking for removal. Fix: use the negative response template and take the conversation offline.
- Leaving hours blank or holiday hours unset. Fix: set all 7 days and add special hours for every public holiday 2 weeks in advance.
- Adding aspirational or unrelated secondary categories. Fix: list only legitimate services the business offers.
